Calculate Your True Planning Costs
See how much you’re spending on planners, systems, hiring, maintenance, and BI — and discover how Planning-as-a-Service can cut those costs.
What your planning costs in the first year.
The total adds up three things: your planning team, your planning system and your reporting tools. All amounts are in US dollars.
Your planners
Number of planners × (yearly cost of one planner + hiring cost per planner + yearly training per planner). The hiring cost is counted once, for the first year.
Your planning system
Number of system users × the yearly license per user, plus the system's total yearly maintenance cost.
Your reporting
The total yearly license cost of your business intelligence (BI) tool.
What the total includes, and what it leaves out.
Included
- Salaries, benefits and allowances of your planners
- Hiring and training costs
- Planning software licenses and maintenance
- BI and reporting licenses
Not included
- The cost of forecast error: lost sales and excess stock
- Implementation or integration projects
- IT infrastructure and internal IT time
- Time other teams spend on planning meetings and spreadsheets
From the second year, leave the hiring cost out unless you expect to replace planners. The costs that are not included are often larger than the ones that are, which is why a better plan matters as much as a cheaper one.

Questions about the calculator.
Why is the hiring cost counted only once?
Hiring is a one-time cost per planner. The result shows your first-year cost, so it includes hiring once. For later years, leave it out unless you expect to replace planners.
Should I enter the license cost per user or in total?
Enter the planning system license per user; the calculator multiplies it by the number of users. Enter maintenance and the BI license as yearly totals.
My costs are not in US dollars. What should I do?
Convert them to US dollars at a recent exchange rate. The result is an estimate, so a rounded rate is fine.
